The Board of Directors

The annual application period to become a board member is open for select dates in September and October. We are happy to say applications for the 2023-24 board are now closed!

The Board

Purpose

To ensure the success of Girls Rock Camp Saskatoon (the organization’s core annual event) and the activities that support it. To manage GRS finances, and to guide and assist committees. 

Peak Periods

Committee members can expect to meet very regularly throughout the year. Peak periods are October through July.

The board has a maximum of 17 directors. Each organizer committee is expected to have a liaison appointed to the board (8 committees), with the remainder of the seats being held by Member-at-Large positions.  Committee liaison positions will have a one-year term which is renewable to a maximum of six consecutive years. Member-at-large positions will have two-year terms which are renewable to a maximum of six consecutive years.  

Any member of the board can be appointed to a Board Officer position, which includes Chair, Vice Chair, Secretary, and Treasurer.  The term of the Board Officer appointments are 1-year and are renewable.

Responsibilities

  • Liaise with Girls Rock Saskatoon’s legal representation

  • Girls Rock Camp banking and accounting

  • Organizer recruitment and committee coordination

  • Responsible for insuring the activities of GRS

  • Planning events such as volunteer debriefs, volunteer orientations, and volunteer appreciation

  • Creating and monitoring the annual budget

  • Choosing dates for camp in consultation with core organizers 

  • Securing a venue for camp and showcases each Fall

  • Ensuring committees are populated and operational by December

  • Hiring and training the camp director several months leading up to camp


Organizing Committees

Applications to join organizing committees are always open. Many of our organizing volunteers and board members are part of multiple committees. Registration Committee

Purpose

To coordinate the application and registration processes and act as a liaison between parents and camp.

Peak Periods

This committee will be very busy from January to March, and again for two months leading up to camp (May & June).

Responsibilities

  • Confirms method and logistics of registration, including application and registration dates, with GRS Board of Directors by January

  • Issues a survey for parents and/or campers to fill out during registration (and then to fill out post-camp)

  • Coordinates application/registration process in Feb/March

  • Creates receipts for parents when registration money comes in

  • Makes initial contact with campers’ parents/guardians/caregivers to ensure they have everything they need for their child to attend camp (e.g. transportation, funding, etc.)

  • From March-July, works as outreach (with families, community partners, and school partners) in order to support campers in challenging situations (e.g. arrange for transportation, assist with filling out forms, etc.)

  • Creates “welcome” packages for campers in May, mail them beginning of June

  • In June, assembles registration package for first day of camp 

  • Coordinates logistics of first day registration

  • Collects and compiles surveys post-camp

  • Throughout the year, triages questions from parents


Programming Committee

Purpose

To develop the curriculum for camp weeks, organizing camp week workshops & activities in accordance with core values.

Peak Periods

This committee will do piecemeal work throughout the planning year, but Programming Committee is busiest in the period between registration (usually March) and camp (July). The committee’s work gets busier as camp approaches. Potential members should expect to meet monthly.

Key Roles & Responsibilities

Even though the Programming Committee exists to work on the content of camp, it is not necessary for committee members to be available as camp-week volunteers (though some overlap between committee/camp-week is desirable)

  • Marketing Liaison 

  • Artist outreach

  • Curriculum development 

  • Facilitator booking 


Fundraising Committee

Purpose

To meet short and long term fundraising goals, primarily through sponshorship (soliciting donations, or partnering with local businesses), writing grant applications, and some event coordination with the Outreach Committee.

Peak Periods

In order to meet some known funding deadlines and plan for the upcoming year, this committee will be busiest from January to June.

Key Roles & Responsibilities

  • Event organizers for fundraising events 

  • Community outreach for potential sponsorship development

  • Researchers for potential external funding sources

  • Grant writers for application for external funding 


Marketing & Communications Committee

Purpose

To be the “voice” of Girls Rock Saskatoon, providing messaging consistent with core values and mandate; to support the committees by managing the website, GRS media presence, and camp/event promotion.

Peak Periods

This committee will be busy in January and February, assisting Registration with advertising the camp application/registration process. May until June will also be busy, with raising awareness of camp weeks. Other than that, this committee will work on piecemeal projects throughout the year.

Key Roles & Responsibilities

  • Managing inventory and sales of merchandise

  • Communicating with the public

  • Website updating/managing

  • Creation of marketing materials

  • Social media content creation, management, and engagement


Volunteer Committee

Purpose

To handle orientation, manage appreciation activities, and coordinate volunteers for recruitment activities. To manage volunteer administration, criminal record checks, communications (email), role assignment and honorarium delegation.

Peak Periods

This committee is very busy from May until the beginning of camp (July). This committee is also busy when one-off events occur. Email is monitored on a regular basis, especially during key times (e.g. when the call for camp volunteers is placed, when positions are assigned, before the mandatory training session, etc.)

Outreach & Safer Spaces Committee

Purpose

This committee is a combination of two previously separate groups: Outreach and Safer Spaces. This was created out of a need for establishing safer spaces policies for organization and business partnerships, as well as a safety rider for GRS organized shows. This committee is shaped and steered by the organizers who populate it, based on their experience/backgrounds and where they see the need for work to concentrate. We hope those with lived experiences of marginalization, racism, transphobia, sexism, homophobia, ableism would find this to be a supportive environment from which to organize and address ongoing harm in the music community (and our broader communities more generally). For outreach this committee looks to make connections in the local community as well as the larger Girls Rock Alliance community to benefit the organization. To help ensure GRS is diverse and representative in its organizer, volunteer, and camper base. Primary partnerships that have been established by this committee are with We Rock Stanley Mission (sister camp), Ness Creek Music Festival, and offering select workshops to community organizations.

Peak Periods

This will vary year to year dependent on which partnerships are being focused on.

Key Roles & Responsibilities

  • Maintaining current established partnerships

  • Liaising with outside organizations

  • Establishing safety riders for events/partnerships with other organizations/businesses

Camp Volunteer Roles

We rely on volunteers to ensure our annual youth camps run smoothly and everyone has a great time throughout the week! There are various Mentor roles and Support roles that need to be filled, so regardless of your experience, ability, gender, or interests, we are sure to have a role that will interest you!
